Today, we shift from “why this hurts” to “here is how we fix it.” Because at Logistica OS, we are building AI to solve real problems and deliver strong ROI fast.

To explain how it works, let’s walk through the three things that make pallet accounting such a heavy administrative workout.

1. Extracting data from delivery slips

Anyone who has handled road transport knows the chaos: stacks of mixed paper, handwritten notes, stamps, tables, inconsistent formats. All of it matters, and none of it is standardized.

Key information like destination and the truck plate number are handwritten. Even worse, the Euro pallet exchanges are documented in a stamp and in a table format.

This is why classic document extraction tools like Optical Character Recognition (OCR) never really worked here.

OCR Extracts text characters and data by recognizing shapes as letters and numbers. However, on its own, it acts as a brute force method that simply identifies shapes without understanding the context or meaning behind the numbers it extracts.

In contrast, our approach combines visual language models with our own OCR methods. Chained steps and the right context let the system understand what it is looking at: which document type, which supply chain step, where load carrier transactions sit, even when the data is handwritten or tucked into stamps.

Every extracted value receives a confidence score. Low confidence entries are flagged for review in a simple interface:

The agent also finds relevant slips in multi page files, extracts the right data and cross checks it with existing systems and other documents.

In contrast to traditional pallet accounting software that require users to shift from manually entering pallet transactions into Excel to manually entering pallet transactions into a different interface, PalletClaim automates up to 95% percent of the repetitive work.

2. Building digital pallet balances

Once the data is extracted, you still need to know how to correctly book each pallet movement. And this is where things get fun.

Every transport involves several players. The shipper, the forwarder, the carrier, the receiver. Everyone has a slightly different way of documenting pallet exchanges. Everyone has slightly different rules. And everyone is convinced their logic is the only reasonable one.

Our AI agent is specifically designed to address the complexities of pallet accounting. It models the entire process, enabling users to clearly define how pallet balances should be calculated for each partner. 

The Logistica system provides users with easy access to these balances through an intuitive dashboard. This allows for displaying pallet accounts segmented by key dimensions, such as warehouse, partner, load carrier type, or any other relevant criteria.

Where traditional tools force teams into rigid workflows, we support existing paper based processes and let users optimize on their terms.

3. Taking action on the data

Once pallet balances are established, PalletClaim helps you to complete and clear the balances.

Traditionally, this involves tedious detective work: spotting missing documents, manually matching transactions, and repeatedly chasing partners for replies. PalletClaim automates the majority of this follow-up.

By integrating with ERP and TMS systems, the agent flags missing or inconsistent documents and prompts users to gather the necessary data. And once the accounts are reconciled, users can issue claims directly through the platform.

Logistica users can also invite their partners to a dedicated portal. They can view their pallet accounts, including all delivery documents, ensuring a shared, common view of the data. 

Furthermore, partners can directly chat with the PalletClaim agents for inquiries or upload counter-evidence in a single shared space, eliminating scattered email threads.
